Appointments
Your day at a glance, and everything you do to a booking.
Your dashboard
The Dashboard opens on today's schedule, one column per barber, so you can see who is in which chair. Above it are quick tiles: appointments booked, your no-show and cancellation rate, and how full the day is.
Switch the tiles between today and the last seven days to spot a trend, and switch the schedule itself between a Calendar grid and an Agenda list. A barber signed in to their own login lands on My Appointments, their own book, instead of the whole shop.
How clients book
A client opens your booking page, picks a barber (or 'any barber' and we assign the least-busy one), chooses a service, and picks an open time. If the shop takes online payment they can pay to lock it in, and if no-show protection is on they save a card the shop can charge for a no-show or late cancel.
Open times come from each barber's schedule, service duration, meal breaks, time off, and your booking window and notice settings.
Book with an AI assistant
Clients can connect their own AI assistant to barber.rsvp and ask it to find a shop, check open times, and book, reschedule, or cancel for them. The assistant follows the same rules as the booking page, and it always shows the details and asks before it books or changes anything.
Connect your assistant
Opening https://barber.rsvp/mcp in a browser or pasting it into a chat won't connect anything. Add it to your assistant app as a connector (also called an MCP server), and the app takes you to barber.rsvp to sign in.
- 1Claude (web, desktop, or mobile): open Customize, then Connectors. Click + Add, choose Add custom connector, name it barber.rsvp, and paste https://barber.rsvp/mcp as the URL. Then click Connect.
- 2Claude Code: run claude mcp add --transport http barber-rsvp https://barber.rsvp/mcp, then sign in when it asks.
- 3ChatGPT and other assistant apps: add a custom MCP server or connector with the URL https://barber.rsvp/mcp and OAuth sign-in, where your plan allows it.
- 4barber.rsvp opens in your browser. Sign in with the code we text to your phone, then click Allow.
- 5Back in the chat, ask something like 'book me a haircut at my usual shop Friday afternoon'.
For shops
Assistant bookings follow your booking window, notice windows, payment, and cancellation fee settings, and they show as Booked via AI assistant on the appointment and in Reports. AI assistant booking is on by default. To turn it off, go to Settings, then Booking rules, and uncheck Allow AI assistants to book.
Same-day waitlist
The same-day waitlist fills an opening the moment it happens instead of leaving it empty. A client joins the queue for a window later today, and when a spot on that barber's calendar frees up, whoever is first in line gets a text to grab it.
It's a per-barber setting: a barber turns it on for themselves under My hours. Turning it on for one barber does not open it for the rest of the shop.
Joining waives your minimum booking notice for that one booking, since it's for later today. The client picks a window they're free and joins the line for a barber, or for 'any barber' to join whichever has the shortest wait. When their turn comes, they get a text and have 10 minutes to claim the freed spot before it passes to the next person in line.
Appointment and payment statuses
Every appointment carries two separate states. Its lifecycle is booked, completed, canceled, or no-show. Its payment is due, paid, unpaid, or refunded.
How an appointment completes
An appointment completes when you settle it (collect payment, or mark it collected, unpaid, or no-show). If nothing is done, the automatic collect run marks it completed about an hour after it ends, so your book never stays full of stale bookings.
Manage an appointment
Open an appointment and use the actions menu (the kebab next to the payment buttons) for everything you do to a visit:
- Check in the client (or they scan the check-in code)
- Collect payment: charge a card, or mark it collected for cash
- Mark as unpaid when they showed but did not pay
- Mark as no-show
- Refund
- Move appointment or cancel
Settling any of these completes the appointment. Barbers can act on their own appointments when you allow it in Barber Permissions.
Move or reassign an appointment
Move appointment shifts a booking to one of the barber's open slots, or squeeze it in at any time on the date you pick (it can overlap other appointments and ignores open hours). Either way the client gets a text or email with a link to see the change, unless you turn off Notify client. Reassign moves it to another barber, one at a time or in bulk when a barber calls in sick.
A barber cannot be removed while they still hold upcoming appointments, so nothing gets orphaned. Reassigning notifies each client, unless you turn off Notify client.
