Text messages

What your clients receive, and consent.

Text messages to clients

  • An appointment reminder before the visit
  • A tip link about halfway through the visit, if the barber has a Tip Jar
  • A review request after a completed, paid visit
  • A note if you reschedule or cancel their appointment
  • A verification text for a new client you add as a walk-in

Messages go by text or email based on how the client booked. Booking messages (reminders, tip links, review requests) are transactional and required to use the service. Marketing messages (win-back offers) only go to clients who separately opt in, and never as a condition of booking.

Clients can reply STOP to opt out of texts, or HELP for help. On Legion, any other reply goes to your Messages inbox and you can answer it from the app (see Two-way texting with clients).

Two-way texting with clients

Every text barber.rsvp sends for your shop, from booking confirmations to reminders, comes from the barber.rsvp number. With two-way texting, when a client replies ("running 10 minutes late", "can we do 3 instead?"), the reply lands in Messages, tied to their appointment, and you can answer from the app. It's included in the Legion plan.

What your clients see

  • Your texts come from the barber.rsvp number with your shop's name in front, like "Dinks Barbershop: See you at 3."
  • They reply the way they reply to any text. Their reply goes to the shop that texted them most recently.
  • Photos work too, so a client can send a picture of the cut they want.
  • They can still reply STOP to stop all texts, or START to opt back in.

Where replies show up

  • Messages in the menu, with a count of unread conversations
  • A chat badge on the visit in your agenda and calendar
  • A link on the appointment page, like "1 new message from Ann"
  • A push notification in the barber.rsvp app, if you have it

Answer or start a conversation

  1. 1Open Messages and pick the conversation. The client's next appointment is at the top, and the automated text they were answering is in the conversation.
  2. 2Type your reply and tap Send. It goes out from the barber.rsvp number with your shop's name in front, and their next reply comes back to the same conversation.
  3. 3To text a client first, open their client page and tap the text button. You can start a conversation with clients who agreed to texts when they booked online.

Who sees what

Owners and managers see every conversation. A barber sees the conversations about their own clients' appointments and gets a push when one of them texts back. Owners and managers can turn on All client texts under Account, then Notifications, to be alerted about every text.

On other plans

Without Legion, your clients' replies are still saved, and a client who replies gets one automatic text a day with your shop's phone number so they know how to reach you. Upgrade to Legion to read and answer them. The messages are waiting when you do.

Keep texts to your clients' appointments and questions. For promotions, use win-back campaigns or email marketing, which only reach clients who opted in.
